Hi there West By Sea crew. I know you’re anxious to get underway. We are too!

Today we’re headed to Boston, USA for Michelle’s regular visit with the doctors. She will also meet with some of the public relations people at Mass General. They are interested in her story and upcoming adventure.

The sad news from Boston this week has been on our minds. Amtrak halted all traffic into the city but restored full service yesterday. We hope to have no issues today, a crisp but beautiful spring morning in New England.  We also plan to bring along the artifacts provided by those backers. We still have a few items trickling in.  Here’s what we have so far:

We spent a good part of Thursday lining up shore excursions. In some places there is just nothing compelling and so we’ll explore on our own. Other places the excursions don’t leave enough time between attractions so we plan to create our own timeline around the ‘standard’ attractions. We are only wait-listed for one trip when we get to Israel but there is plenty else to do there. And we’re very excited the crew has moved from ‘waitlist’ to ‘confirmed’ for the overland trip to Agra and Delhi for the Taj Mahal. Very excited indeed.

Update #11: weekly update

Hi everyone. We’ve been really busy. Three major projects in progress and only one month left before we leave! Michelle is getting her spring MRI today to prep for a final checkup before the trip. We have been getting our house ready to be mothballed for the summer and our stuff ready for storage. The luggage got pulled out and will be replaced. We got both passports back with approved India visas inside. Ed built a book mockup using Levenger’s circa notebook system. All the tech gear has arrived and has been placed in service. The Drobo mini is really a great piece of gear. We had another productive meeting with Rick the navigational archaeologist about coding the final spot for the ‘treasure’. We’re in touch with an artist about a custom set of travel-themed playing cards.

India Consulate has approved our visas

Just a quick update. Got email back from Travisa yesterday saying the visas were returned to them approved and they would be mailing back soon. We are on the list for a couple excursions in India and can’t wait to bring you all to lunch there on June 7th.

Evaluating Luggage and Tiny Spaces

Giving old luggage the 5th degree…

Today we pulled out all the luggage. We weighed and measured it and looked at replacements. We decided to replace everything with collapsible bags for this trip. What does that mean? Our existing luggage weighs 52 pounds. The replacement luggage weighs only 27 pounds and actually has a bit more capacity. The extra 25 pounds can be used for extra gear or for reducing the load.

The ship has a valet service to deliver luggage from our house straight to the stateroom. And they don’t mind charging about $10 per pound for the convenience! We may decide to ship one small bag of West By Sea consumable equipment ahead of us.

Here’s the layout of our stateroom and home for over three months during the trip. As you can see it’s pretty tiny.

We need a stateroom to be functional for:

  • Sleeping, bathing, dressing, relaxing
  • Office space for West By Sea production gear & writing
  • Storage for clothing, luggage, gear and souvenirs.

It looks like the room will have everything we need. But four big bags filled with our stuff, your postcards & objects and the production gear is going to fill it up quickly. Tomorrow night we’re doing a “mock pack” as we wait for the new luggage to arrive.

First requests have gone out

For the Kickstarter Segment Sponsors, Bookbinder Sponsors and Object Backers, you should check Kickstarter for a message about next steps.  I need some information so we can start on your rewards.  And I need objects! Several have come in already and they look great.

We explored shipping directly to our stateroom prior to sailing. WHEW was it expensive!  We might do a small bag of bulky stuff. They charge by weight, not size. The checked bag fee is probably less. Of course that means the two of us will need to haul all this stuff from plane to cab to hotel to cab to ship.  We’ll keep working on it to preserve Kickstarter capital for stuff that really matters – a quality product.

The Kickstarter campaign did not raise enough funding for a laptop upgrade. So we did one anyway. Between selling old gear on eBay and other dedicated scrounging & selling we got it done yesterday. Data swapping is in progress. The camera, drobo and podcast equipment is ordered and most has shipped.

When the trial runs out for Adobe CS6 we’ll purchase the “creative cloud” service. We have an old serial number which cuts the monthly price down to $29 from $49. If you are a fan of Adobe software but could never get involved because of the high cost, the new creative cloud option is a great deal.

Also on tap today is sanding the back deck for repainting tomorrow and a vocal performance for a military retirement ceremony. Things are moving along by bits and pieces.

Paperwork almost done. Last visa application before we’re ready to leave. This one was like applying for college. It’s nice to have a checklist. Hopefully the $200 application fee will be worth it when we visit!

Successful Funding Campaign

Video Update – Visit to Phoenix Press

On Thursday Ed visited Phoenix Press. They’ll be printing your post cards. They may also be printing the adventurer certificates and depending on prices the paperbacks.  It doesn’t look like the hardcover book can meet the minimum numbers so those will be done through Lulu on-demand printing.

On Friday Ed’s interview went live on the iTunes Store as part of the Sports Car Junkies Business podcast. Start with episode #003 to hear some advice about starting your own crowdsourced project.

On Monday night we’re going to Mohegan Sun around 5pm to celebrate the end of the project and the kickoff to expedition preparations. Lots to do and just 6 weeks to get it done.  If you are a backer in CT, RI or MA (or you need an excuse for a little sun) we hope you join us. We’ll start at the cigar bar by the Tuscany waterfall, and maybe move on depending on the crowd. (No funds from KS will be spent on anything but direct project support.)

The response has been just incredible and we’re so excited to have almost 150 of you along for the journey. We’re looking into several ways to enhance the experience for each backer. Since these are the final hours, you can still invite your friends to come along. Know somebody who needs a dose of positive? Forward them a last-minute-link and help push the final tally above $10,000.

Applying for India Visas for USA Citizens

If you use a Mac beware applying for your online India Visa!  The India Consulate has outsourced its application process to Travisa Outsourcing – at least if you live somewhere overseen by Consulate General of India-New York.  Ed and I were each able to use Safari to go through the online application process without a problem.

The website stated that if a payment process did not come up after the application process you need to start the application process over.  After poking around the website a bit, I found a link to payment processing.  When I tried going through that link processing the fees through Safari, it was a no-go!  Travisa’s system did not recognize our application numbers or passport numbers.  I went back and tried again – still rejected on both.

I then did some digging around to find that their “preferred browsers were IE or Chrome”.  Really?  Not even Firefox?  So I tried Chrome.  I figured I would have to go through the application process again because it still stated on the website that if a payment process did not come up after the application process you need to start over.  In Chrome, I went to the application link, typed in all the information on the first page, and then clicked “Continue”.  Waited…clicked again…waited – um, okay nothing is happening here…  I clicked around the page, changing selections with no issue, dragged my mouse back down to the bottom and clicked “Continue”.  Nothing!  Not even any indication that their server was being contacted.  Hmmm…

I decided to go back to the page that had a video explaining the application process.  I had to expand the video to see what was being instructed.  The video is incredibly blurry, but you can figure out what the commentator is talking about.  After watching the video, I found that the written directions are a bit inconsistent with the video directions.  The video directions state after the application process, you return to the directions page to click on another link that takes you to the payment process – it does not continue to a payment process automatically.

OK, now what?  I have two printed applications with assigned numbers through Safari. Make sure not to save paper using double-sided printing – they want two separate pages AND use legal size paper, not letter.  I also recommend saving your application as a PDF after it is completed.  I decided to try processing the payment through Chrome – and it worked!  You can send up to three passports in the same FEDEX shipment.  Travisa prefers Money Orders because they say credit cards cause delays, plus there is no option to choose credit cards for payment in Chrome. Then uploading your latest passport type photo you will paste to your application and uploading your signature. Be ready to get the 48-hour delay warning if you don’t upload your photo and signature.

And I almost forgot – you will most likely have to download their security certificate since it will indicate the site is not secure.  I did not try using the websites through Firefox.

West By Sea: in the press

We’ve been working hard to generate press. While trying to sell the house we’ve spent most of each day promoting West By Sea. More backers means more “social proof” and better quality rewards for all backers. We contacted adventure travel companies, cancer survivor groups, motivational leadership types and the local press, plus email, LinkedIn, Twitter and Facebook.

You have all been great getting us to our first goal and to three of the five stretch goals. Normally there’s an uptick during the last 48 hours of the campaign and stretch goal #4 will probably happen. The graphic below is from Kicktraq which shows project activity (check the full report here).

 

If our goals are met, why keep working to get more backers? Well, just like sports figures have sponsors, so do world travel bloggers. In April we’ll be contacting adventure travel outfitters for sponsorships. More “social proof” means we might actually be sponsored by a couple great outfitters. For them it’s a numbers game. (If you are or know an outfitter – let’s talk.)

The most exposure has come from Jetset Times. They published our guest blog on 3/25 – please share it! This article connected 16 new backers, 5 new Facebook ‘likes’ and almost 100 new followers on Twitter. Thanks to Bill for introducing us to Wendy. And please add Jetset Times to your regular reading list.

The cool folks over at Sports Car Junkies Business Podcast featured an interview with Ed on show #3. The host Steve burned the midnight oil and moved us up in his release schedule to be sure you could listen before the Kickstarter deadline. Please give them a listen. (You can also read the transcript here.)

Both Michelle and Ed were interviewed by DJ Grandpa’s Crib, an internet radio show about Kickstarter. The main website for Bedrock Communications will be the best place to find it. If you’re already a backer we think you’ll enjoy hearing our story in our own words.

Andy put a note on a message board which brought in four new backers – thanks!  Andy also reached out to his media contact in Baltimore (postcard backer Chris) who sent us contact info for local CT media. We got a reply from the patch.com contact, nothing to report yet from other media.

Nancy got us in contact with Susan who will put in a placeholder for the New London schools. It will be fun to have a bunch of kids along.

Michelle will meet with the media folks at Mass General (where her doctors are) in April.

Facebook has been good for building community. We hope more of you join the conversation over there. We spent about $25 for Facebook promoted posts which brought in 15 backers. During the trip our ground crew will cross-post to Facebook and Twitter, but the main action will be at westbysea.com.

For $20 we had some nice business cards made up and wish we’d done it sooner. People really like seeing a miniature version of the postcard and having the website address on hand.

And of course, word of mouth. You have all been great telling others and sharing the links. Great work there!

Some things we tried that didn’t work out:

  • Twitter. Two backers could be considered a success but the time spent trying to build an audience there hasn’t been well spent. Twitter might be useful for marketing an already existing brand with a large and loyal fan base. We’re not talking town Twitter. You folks are absolutely great and the Twitter following (with your help) will be nice and big by the end of the trip. It’s just a different market with a different focus.
  • The Ellen DeGeneres show. Yes, somebody (THANKS!) put us in for the show. It hasn’t happened yet. If they decide to contact us before we leave for the trip, we’ll let you know the air date.
  • Local media.  This story has several possible angles: leadership, travel, human interest, medical, new media, business and literature to name a few.  The news cycle is winding down without any hits or interest. If something pops up we’ll report back.

Some things we didn’t do:

  • There was no way to pay for mass marketing and frankly having thousands of followers (while awesome) would have been a lot of work.  So no mass email lists or advertising. We want to bring along the people who care (you).
  • No national media. Same reason, but also we’re just two people doing this. It’s one thing to go national if you have a staff. Maybe that’ll happen some day: “West By Sea, Inc.” Not today.
  • No website ads. We want to keep the website to sponsors only and tightly controlled affiliate programs, like Amazon (we get about 4% referral credit for Amazon links at no additional cost to you.) Also no other internet or in-app advertising.

The plan

On Saturday night I’ll put out one more update. This will be the last reminder to make any adjustments to your pledge. After the campaign is over it’ll take a few days to complete the funding process. Then the focus shifts to trip prep and packing. Updates will be less frequent but we’re going to plan one per week. We understand people are following this project for different reasons so the April updates will report about two things: trip prep and blog/book prep.

In May the focus will shift to the website. Kickstarter updates will still go out for major milestones related to the project. We will have a separate email list for website alerts – this will be in addition to Kickstarter updates, and entirely voluntary. If you don’t want to join the email list you will still have access to the site as a “contributor” and we hope you join the conversation by commenting on daily reports.

If you discover an interesting way to spread the story, please do. Things are busy busy busy, but we want to inspire as many as we can.

Hi everyone, we’re into the final week. Pre-orders for books and postcards will end on 3/31 which is Sunday (and actually it’ll be 4am EDT on 4/1 so those in Hawaii can still pledge late.)  Backers should review the campaign again and consider adjusting pledges before the deadline – several new rewards.

To give you an idea what we have in mind for Objects, this might help.  Ed plans to bring along a few things that are important. One of the pictured objects plays a role in the final treasure hunt. OK, maybe several do… From L-R, Top-Bottom

  • ASTD paperweight, backed by Connie. She wants to see it at spots around the world.
  • Sorcerer Mickey – Ed’s constant muse since childhood (thanks Disney Institute).
  • USCGA Class Ring – Ed’s ring from the Academy.
  • Atlas Shrugged lapel pin – “…armed with nothing but their own vision.”
  • Green Stone – mentioned in the book Zorba the Greek and a gift from Ed’s first mentor.
  • Volcanic Pebble – this rock has been around. It turns green when wet.
  • HH-65 lapel pin – Ed’s helicopter.
  • Bottle Cap – evokes the badge from the Disney Pixar movie “UP” given by Ellie to Carl.
  • CGA Idlers Pin – Ed’s sea chantey vocal group from college and beyond.
  • Antartica earring – used as a tie tack, it has also been around.
  • Figment dangle – another awesome Disney character and the patron of all Imagineers.

Backers have told us they intend to send these things already:

  • Rick – a small pocket compass.
  • Connie – ASTD paperweight (above).
  • Peggy – asking for pictures of donkeys and will send a small object.
  • Martha – Huckle and Lowly Worm finger puppets.
  • Will – a beer tap (might be on the large end but we can get it to fit).
  • Erica – asking for pictures of people making human pyramids in Australia and South America.
  • Matthew – a picture of his victorious team with golfing trophy (bragging rights).
  • Nancy – a picture of her family, “world” shots will be framed around a bigger version.
  • Bill – a Sergeant Ermey action figure. Sound: “My tour of duty runs another 85 years.”

Adventurer Certificate and Book

Ben is a great artist and drew for a magazine Ed once edited, The Howling Gale. He’s agreed to come out of retirement, join the team and produce the Adventurer Certificate. This quick sketch will evolve by October into a final piece of framable art. Adventurers can hang it on the wall as early supporters of the West By Sea blog and book project.

On the book front, we had a great conversation with a cool print shop in the local area. They print books for Yale and do regular print work for Honeywell technical publications. They have promised they can do small print runs and even handle the mailings. We’re scheduled to meet with their team on Thursday 3/28 and will post more with pictures after the visit.

Press

First, our guest blog was published today 3/25 on Jet Set Times! They do a great job bringing you articles about travel – reporting, tips and human interest. Please check out the article and share.

Next, DJ Grandpa’s Crib will release our interview on Monday April 1st. The main website for Bedrock Communications will be the best place to find it (or just load the RSS into your podcast software like iTunes and listen every Monday: http://feeds.feedburner.com/DjGrandpasCrib). If you’re already a backer we think you’ll enjoy hearing our story in our own words. Since the show will air *after* the deadline we’re looking at ways to bring other people on board. At this point we’ll probably just focus on the trip and the early backers (You). Anybody else will have an option to be added to the email list.

And, the cool folks over at Sports Car Junkies Business Podcast have us lined up as show #3. Look for that this week, and give all their shows a listen.

Trip Prep

We’re finishing paperwork today for country clearance and visas. We’ve taken a look at logistics for the ship. They’ll let us send suitcases by DHL ahead of time, so that’s good news. Your funds will help pay for that and get all the stuff to the ship in plenty of time. The ship has Australian power plugs. No surprise there but converting our U.S. gear to the right currency could be “interesting”. The laptops already support 240v/50hz but some of the other chargers require 115v/60hz to work. We have converters already but you never know. We have 5 days in Sydney to test everything on shore and locate last-minute gear if we need it. Our stateroom is one deck up from and directly above the library and reading room. That bodes very well for reliable and convenient Internet access, a requirement for a daily blog!

For Backers: Next Steps

After the campaign Kickstarter takes about two weeks to process your pledges. Make sure your Amazon account is up to date. When your pledge clears their system you will receive an email from Amazon saying “Your payment to Edward Beale has succeeded” or something similar.

Also after the campaign we’ll send you a “Backer Survey”. The survey will ask for information so we can fulfill your pledge. For example, if you pledged a postcard we need an address. If you are sponsoring a page we’ll need the text of your short note or tribute so it can be published. If your level comes with “from a port of your choice” we’ll need you to tell me which port along our float plan. That sort of thing.

Short daily updates

Full day Sunday with family activities. Here are some highlights from earlier in the week.

Nice progress today. Got an order of business cards in. I’ll be dropping them around town, linking back to the kickstarter project page. Only one weekend left. The next update is about Objects. If you could pick only one thing to bring with you on a quest, what would it be?

If you were going to ‘bury’ a treasure somewhere on planet earth, then reveal the location in a multi-layered code, how would you do it? Well on Saturday I met with one of the only “navigational anthropologists” on the planet to discuss planetary coordinate systems, spherical geometry and uncertainty modeling over some greasy food and burnt coffee. We had a great talk and are now considering sites where we can place the final treasure.

Working on some pre-trip logistics. It looks like the ship has Australian electrical outlets. 240v at 50hz, right at the extreme range of portable electronic specs. Looks like we’ll be bringing that adapter and an electrical strip. Can you say “single point of failure”? Time to craft a backup plan!

Also noticed our berthing is directly above what they’re calling the ship’s library. Should bode well for easy access to a quiet writing area, and much more reliable (and faster) Internet. Better to be lucky than good, sometimes!
